
2026 EXHIBIT/VENDOR GUIDELINES & REGULATIONS

Event Logistics

This event will take place rain or shine. (An exception may be made if the ground becomes saturated due to localized rain that could damage Calhoun Campus grounds.) A scheduled rain delay date is April 12, 2025.

Vendors may arrive after 8:00 AM on May 2, 2026, and must be fully set up by 9:30 AM. Vendors should not begin packing up until 4:15 PM.

Vendor vehicles may drive close to booths for set-up and take-down. No vehicles are allowed on the green. All vehicles must be moved to the vendor parking lot by 9:15 AM.

Vendors are encouraged to promote their participation on social media, websites, and other platforms.

Food trucks will be placed in a designated area and must supply their own power and water.

Vendors and NALZS staff must park in the designated parking lot.

Bounce houses are not permitted.

All vendors and exhibitors are responsible for providing their own tents, tables, and electricity.

Every booth/company must maintain appropriate insurance for the event. NALZS and Calhoun Community College are not liable for damage, destruction of goods, or other issues occurring before, during, or after Kids Fest.

All vendors and exhibitors must maintain a family-friendly or child-friendly booth. Partners and Passport vendors are responsible for uploading their logo in the registration form.

Booth/vendor fees are non-refundable and non-transferable.

A final email will be sent the week of April 20, 2026, including your booth location, parking map, parking pass, final instructions, and any additional guidelines.
Application & Space Assignment

Applications must be submitted in writing using the provided contract form and must include full payment.

Booth spaces are assigned on a first-come, first-served basis.
Contract for Space

The application and the official notice of assignment from NALZS and the Colburn School together constitute a contract for the use of the assigned space.

In the event of severe weather, fire, strike, or any uncontrollable circumstances that render the property unusable, the contract shall be considered void.
Construction of Exhibits

Exhibits must be arranged so they do not obstruct or interfere with other displays within the allotted space.
Restrictions in Use of Space

Exhibitors may not reassign, sublet, or share their booth space without approval from the exhibits manager.
Circulation & Solicitation

Advertising materials may be distributed only within your assigned booth.

Exhibitors may not solicit or display materials outside their designated space.

Organizations without assigned booth space are not permitted to solicit anywhere within the event area.
Children Supervision Policy
To ensure safety for all participants:

No unattended children are permitted at Kids Fest.

Children present in a booth must remain in that booth for the entire event.

Children may not leave the booth without a designated adult chaperone.

Vendors are responsible for supervising all children accompanying them.

Noncompliance will result in booth cancellation and removal from the property.
No Suitcasing or Outboarding

Suitcasing: Soliciting business or distributing materials without purchasing exhibit space is prohibited.

Outboarding: Hosting off-site events or activities that draw attendees away from Kids Fest without permission is prohibited.

These rules protect exhibitors who financially support the event.
Noise-Making Exhibits

Exhibits involving musical instruments, audio equipment, or other sound-producing devices must be operated in a way that does not disturb neighboring vendors or attendees.
Insurance & Security

All exhibitors and vendors must maintain appropriate insurance.

NALZS and Calhoun Community College assume no responsibility for damage, loss, or injury involving exhibitor property.

Exhibitors are responsible for all risks associated with materials, equipment, and activities in their booth.
Restrictions in Operation of Exhibits

NALZS reserves the right to deny or restrict exhibits that, due to noise, behavior, content, or other factors, are deemed objectionable.

Any exhibit that detracts from the character of the event may be prohibited or removed at the discretion of management.

All booths must remain G-rated, with no scandalous images, pornography, or inappropriate graphics.

NALZS is not liable for expenses related to any exhibit removed for these reasons.
Live and Dead Animals

No live animals or animal taxidermy (stuffed animals, pelts, mounts, etc.) are allowed unless the exhibitor receives explicit permission from NALZS.
Drugs, Alcohol, and Tobacco Products
-
The possession or sale of tobacco, CBD, drugs, marijuana, alcohol, vaping products, or related items is strictly prohibited anywhere on the premises.
